SOME OF THE MAIN FUNCTIONALITIES OF OUR SOFTWARES
ESTIMATES
Thanks to this program, you will be allowed to create your estimates in few minutes, by using its many automatisms or by retrieving as a template any estimate already existing. It also allows you to manage Multiproduct and Multiquantity estimates, based on customized putting to press for all the signatures that are listed in the JDF manual. The Estimates program also includes a management tool allowing to handle both the automatic price lists related to internal and outwork binding processes and to automatical calculation for ink consumption. Moreover, the die-board archive included in the program will help you to determine your working costs. Last but not least, you will be allowed to enter your costs either on the basis of a Contribution Margin structure (industrial costs + direct costs + Contribution Margin) or on a full costs + variable costs). Surchanges and discounts can also be applied on each cost centre.
JOB SHEETS
The Job Sheet module retrieves all the processing information from the related Estimate and it is also linked to other modules, so that all the information is available for the other software functionalities. The Job Sheet Manager is crucial in order to get a data forecast, as it will enable you to look up the following: - list of the jobs still to be processed, sorted by date, machine or cost center - jobs to be executed on each machine: daily, weekly or monthly reports - jobs executed per each customer
Furthermore, you will be able to get many statistics related to your montlhy, six-monthly or yearly turnover. All the displayed information can be printed and exported to file.
In connection with estimates, from the Job Sheet module you will be able to create your orders both for any possible outwork job and for raw materials. Printouts and forms are especially accurate and you will be provided with many types of them, according to the workings and processes run by your Company: flatbed printing, web printing, continuous form printing, label printing.
JOB SHEET STATUS The Job Sheet Status will allow you to check in real time the progress of your jobs, and it will also provide you an overview of the current situation of your company departments. The connection to UT-TOUCH or Time Web will enable you to keep under control in real time your production progress and to know - for each cost centre - on which job sheet your company is working and for how long. Futhermore, it will allow you to find out the mismatch between estimated and actual working hours.
PRODUCTION CHECKS
Basic Statistics - A great amount of information can be retrieved from the Database, such as: production and average values for each machine (including daily, weekly, monthly and yearly statistics; production time for each operator, as well as direct comparisons among machines or working shifts. In the printouts you will be able to visualize the related piecharts, both black/white and colour.
Top Statistics - This functionality will allow you to draw yearly or monthly statistics, by Department Cost Center or working Phase. In the displayed information and charts, Start-Up Average, Production Average and Unproductivities will be shown separately. You will also be able to consult further statistics by using some customized reports. This module is crucial for those companies working by contribution margin.
Top Calculation Information related to Production departments can be entered manually or it can be collected by specific terminals via direct electric impulses. By entering operators' daily reports and the information about materials and outwork jobs, you will be displayed - both on video and on printed sheets - your post calculation showing earnings or losses. Every post calculation shows the average of working hours, the productive hours and the unproductive ones. You will be able to choose among several kinds of printouts, from the most schematic up to the most detailed one.
Estimate/Post Calculation Comparison This module automatically collects information from Estimates and Post Calculations, showing discrepancies by department, center and working phase. In case of losses, they will be highlighted in red. It also allows to get many printouts related to the options you have selected, both black/white and colour.
Delivery Docksets and Invoices By using the Delivery Dockets and Invoices program, the creation of Delivery Dockets and Invoices becomes an easy and automatic process. Moreover, if a customer is already using an accounting software, it can be integrated to our Delivery Dockets and Invoices program. In case it shouldn't be possible, all the previously entered data could be exported using our specifically designed program called Exporter.
INTEGRATIONS AND CONNECTIONS WITH THE ACCOUNTING SOFTWARE
"BUSINESS" ACCOUNTING - The integration between the UT software and the Business accounting software will make it possible to reduce time and costs required for creating delivery dockets/invoices and for entering data, in order to offer a better service to your customers. Using UT-Business, all the transmitted up to the management accounting.
MAGO ACCOUNTING - Edigit Software can be linked also to the Mago.net accounting, both for active and passive invoicing.
ORDERS TO SUPPLIERS Orders to Suppliers are directly connected to Job Sheets - from which the materials to be ordered are retrieved - and to an automatic loading into the Warehouse. This module calculates the amount of sheets to be ordered - from a KG quantity - and viceversa, and it also shows the allowance limits to be communicated to the Paper-mill. Managing orders, will allow you to make post calculations automatically.
CUSTOMERS/SUPPLIERS MANAGER This module is linked to all programs. Therefore you will be able to get: the money cost, the pre-configuration for sending faxes, as well as the usual printouts. This program will allow users to trasfer their customers file - from their own management system - by following clear patterns.
WAREHOUSE MANAGEMENT Raw Materials Master-file It allows to enter information about materials and it provides the automatic calcilation of size, sheet weight, price per Kilo, per sheet, per linear meter, etc. The Raw Materials Master-file will allow you to automatically update all the raw materials stored in your warehouse or just those ones that you bought at a specifical supplier, according to you selection.
Basic Warehouse (load/unload) This program has been carefully developed in order to make it possbile to load and unload materials in the warehouse, both automatically and manually.
Top Warehouse (reserved/ingaged materials) This program is directly linked to Job Sheets (for reservation), Orders to Suppliers and Post calculations. It automatically updates after every unloading procedure. The minimum supply level also indicates when you need to re-order materials. Whenever you need it, you will be able to use the following functionalities: search, queries, inventory, size and prices as for every raw material you own.
Locations manager Nowadays, reducing the time needed for lacalizing a specific paper in your warehouse, as well as optimizing their usage in order to cut down wastes, is mandatory for surviving in the market of Graphic Arts. Ut-Ubi will allow you to manage your raw materials warehouse and/or you finished products by means of a barcode scanner. It would also be possible to interface the program with your forklifts, for processing every load/unload movement. Any operator will be able to check in real time where he can find a certain type of paper or other printing support, as well as its exact location to store it.
OFFERS/ORDER CONFIRMATIONS
Offers to Customers If you use the UT software, the offers to your Customers will be automatically created from Estimates; anyway, you will be allowed to customize the text of the suggested document and to save your customizations for future quotations. By the specific program, you will also be able to create offers/order confirmations in a foreign language, including the corresponding currency exchange rate.
Order Confirmations Order confirmations, as well as aoffers, are automatical: you will just have to click on two buttons and you will visualize and print your order confirmation. By the specific program, both offers and order confirmations can be directly sent via fax or e-mail, as an attachment.
ESTIMATES BASED ON PRICE LISTS The Price Lists Manager has been specifically designed for Binderies. A specific whole part of the Estimate program is available for that kind of companies, and it allows to create bindery estimates basing on price lists. Moreover it is also possible to create a detailed bindery estimate, integrated with the tipolitho estimates.
SCHEDULER and PRODUCTION PROGRESS
Scheduler Production Scheduling starts when you enter the date of availability of your company machines. It can be updated either manually, by an operator, or automatically, by retrieving information straight from your machines, thanks to the Touch application, that can be either moncentre or multicentre. The production Scheduler automatically updates the related job sheets, the Working Progress Control Board and the automatic time detection.
Production Progress Control Board It will be set up by Edigit technicians, according to all the working phases of your company. This Control Board monitors, in real time, all the job sheets in progress by retrieving information from the company cost centres: from time detection tools, warehouse - as for materials availability, Orders to Suppliers, outwork jobs, pre-press, etc.
